Learn To Strike A Balance In Your Email Tone
Are your e-mail messages coming out too casual? Or, are they also formal? Are you concerned that you’re using the wrong email tone?
If you were sending a letter to a prospect thru the post, you would expect it to be more on the formal side. Nonetheless if you are writing a message, say in facebook, you would probably be more on the casual side. E-mail is somewhere in the middle. So what’s the appropriate tone for an e-mail? Well, more casual than a letter and more formal than a facebook message. Yet, there is a fine line between being too relaxed and too stiff.
Ultimately , it’s going to rely on how you are promoting your brand. If you come off as the guy or gal next door, then you can lean more towards to casual side. Though if you are more of the suit and tie type, you might want to stick with a more formal perspective.
Think of it in terms of a conventional business. For instance, a skateboard shop won’t be anywhere as formal as say a doctor’s office.
One other thing to think about when writing your emails is who will be really reading it. Basically, this means you should know your audience. If your market is 40-50 year old professionals then try for a pro, yet conversational tone. A simple way to realize a conversational tone is by utilizing contractions ( I’ll, we’ll, he’s, she’s ). Also, it’s completely ok to use pronouns. In conversation, we use the words I, we, you. Thus use these in our emails.
As an example, “It is recommended..” sounds terribly stiff. Instead, try using “I recommend.” However , be cautious of overusing the pronoun I. Using too many can make you seem a bit arrogant, which is not at all how you want to appear. So try to make your content more about the reader and what you can do for them, instead of all about yourself.
So if you can learn to strike a balance between a formal and casual tone while managing to connect with your readers in a conversational manner, you’ll be well on your way to successful e-mail marketing. It’s really not as difficult as it sounds, and with a little effort, your readers will connect with you instantly.
